A vacancy for an office manager is planned for creation (replacement) in March 2025 during the maternity leave of the primary employee. The workplace will be at the Representative office of a foreign pharmaceutical company.

Responsibilities:

  • Ensuring the office's operational functionality and maintaining office equipment.
  • Processing incoming/outgoing correspondence (sending registered letters via mail and courier services).
  • Receiving and directing phone calls.
  • Supporting the organization of corporate events, training sessions, and business trips for employees.
  • Searching for optimal suppliers of goods and services, preparing criteria assessments of proposals and documents for contract signing.
  • Coordinating document flow.
  • Preparing HR reports, maintaining personnel files, and supporting the hiring/termination process.
  • Assisting in the accounting and distribution of promotional materials.
  • Executing tasks assigned by Head of Representative office.

Requirements:

  • Experience of at least 3 years in the position of office manager or in a similar role (assistant to management, secretary, etc.).
  • Higher education.
  • English language proficiency at a level no lower than B1.
  • Knowledge of document management principles.
  • Proficiency in Microsoft Office.
  • Clear oral and written communication skills.
  • Ability to multitask.
  • Teamwork skills and the capability to meet deadlines effectively.
  • Personal qualities: good communication skills, responsibility, attention to detail, stress resistance, and a high level of self-organization and self-control.

Conditions:

  • Work schedule: 5/2 from 9:00 to 18:00 (break for lunch - 45 minutes), on Fridays from 9:00 to 16:45.
  • Timely salary payments.
  • Official employment, with 25 days of vacation.
  • Probation period - 3 months.
